Fall Coverage Planning for Public and Daily-Fee Courses

September and October bring the same problem to most public and daily-fee courses. Seasonal staff go back to school or move on to winter work. Weekend tee sheets don't get any lighter. The GM is left deciding who watches pace with fewer hands to do it.

The fall gap: full weekend tee sheets, a thinner staff schedule

Golf Inc. reported that 2026 is shaping up as a more measured year industry-wide, with operators shifting from riding demand to refining execution, and labor pressure named specifically as one of the areas requiring sharper focus (Golf Inc.'s 2026 outlook). Fall is where that pressure shows up first at daily-fee courses. Rangers who worked June through August are gone by mid-fall. Saturday and Sunday tee times don't move.

The instinct is to spread the remaining staff thinner across the same patrol routes. That's the wrong move. The right move is to decide, in writing, which holes and which windows actually need a human this month.

Map where coverage actually matters before you cut patrols

Not every hole needs the same attention. A par 3 with a single group backed up behind it is a different problem than a par 5 where three groups are bunched near a blind landing area.

Before the schedule tightens, walk the course and mark the two or three holes where slow play compounds fastest. Those are usually holes with a forced carry, a green that's hard to see from the tee, or a walk-off that funnels players back toward the clubhouse. Everywhere else, a smaller crew can check in less often.

The three tee windows that decide the day

Most full tee sheets are decided in three windows: the first tee times off the front, the mid-morning turn when the back nine starts filling, and the early afternoon window when twilight rates bring a second wave onto a course that hasn't cleared yet.

Get the first window right and the rest of the day has room to recover. Miss it and every group behind absorbs the delay. A fall staffing plan should put the one available person at the tee for the first window, not roaming the back nine looking for a problem that hasn't started yet.

What software watches and what staff handle

Interval tracking, hole-to-hole timing and gap detection are jobs for position data. A GPS system on the carts sees when a group's interval starts slipping, before it's visible from a cart path or a clubhouse window.

What a person handles is different. A confused guest, a dispute between groups, a skill mismatch that needs a conversation, not a stopwatch. That's a relationship problem, and it needs a staff member, not a screen.

The fall crew works because the software does the watching and the one available staff member does the talking. Neither one is doing the other's job.

The accuracy standard staff will trust, in writing

Staff will stop trusting a pace system the first time it flags a group that wasn't actually behind. Standard GPS drifts 6 to 16 feet. A cart path is typically 8 to 10 feet wide. That's enough drift for a system to lose track of which hole a cart is actually on.

Precision GPS built on RTK corrections is a different measurement category. Before any fall staffing decision leans on position data, get the accuracy standard in writing, not a verbal assurance from a sales rep. Ask for a number and a test method. If a vendor won't put it in the contract, that tells you what the number would have been.

Write the October coverage plan down

A plan that lives in the GM's head doesn't survive a schedule change. Write down the two or three critical holes, the three tee windows, who's on the course each window, and what the position data is watching for.

  • Ask any GPS vendor for a written accuracy guarantee with a specific number and test method. A verbal assurance doesn't count.
  • Write the plan on one page and share it with whoever covers pace this fall.
